Bizzphlo Privacy Policy

Bizzphlo is business software for managing customers, follow-ups and WhatsApp communication. Bizzphlo is operated by House of Bhram, a Udyam-registered MSME based in Mumbai, India (“House of Bhram”, “we”, “us”).

This policy explains what information Bizzphlo processes, why, and what choices people have. It covers the Bizzphlo application and its WhatsApp messaging features. The House of Bhram website has its own privacy policy.

Who this policy is for

Bizzphlo is used by businesses (“customer businesses”). Two groups of people are affected by it:

  • Business users: the owners and staff of a customer business who sign in to Bizzphlo.
  • Contacts: the customers, leads and other people whose details a customer business keeps in Bizzphlo, or who exchange WhatsApp messages with that business.

Our role and the role of the business

Each customer business decides what information it puts into Bizzphlo and why. For that information, the business is the party responsible for the data (the “data fiduciary” or “controller”), and House of Bhram processes it on the business’s behalf, as its data processor, in order to provide the software and service the business has contracted for.

Customer businesses are responsible for having a lawful basis, including consent where it is required, for the information they add to Bizzphlo and for the messages they send through it.

If you are a contact of a business that uses Bizzphlo, that business is your first point of contact for questions about your data. You can also contact us, as described below.

Information Bizzphlo processes

About business users

  • Account and profile details: name, email address, phone number, role and sign-in credentials (passwords are stored in hashed form).
  • Activity and security records: actions taken in the application, timestamps, and technical information such as IP address and browser type where it is logged.

About contacts, entered or received by the customer business

  • Contact details: names, phone numbers, email addresses, company names and addresses.
  • WhatsApp identifiers: the WhatsApp phone number and related account identifiers of a contact.
  • WhatsApp messages and message metadata: the content of messages sent and received between the business and the contact through Bizzphlo, delivery and read status, and timestamps.
  • Consent and opt-in records: whether, when and how a contact agreed to receive messages, and any later opt-out.
  • Business records: deals, tasks, notes, activities and follow-up history linked to a contact.
  • Automation records: which automated reminders or messages were scheduled or sent.
  • Uploaded files, where the business has enabled file uploads.
  • Industry-specific records, where an industry module is enabled. For example, in Bizzphlo Optical an optical store may record spectacle prescriptions, measurements, orders and payments for its customers.

Audit and security information

  • Audit logs of significant actions, access records and timestamps, kept to protect accounts and investigate problems.

We do not use Bizzphlo to collect information from contacts for our own marketing.

How the information is used

Information in Bizzphlo is used to:

  • provide the customer, pipeline, task and follow-up features of the software;
  • send and receive WhatsApp messages that the business has authorised, and show those conversations to the business’s team;
  • run reminders and automations set up for the business;
  • provide customer support to the business;
  • keep the service secure, prevent abuse and maintain audit records;
  • keep the service reliable, including backups and fixing faults;
  • operate and improve the product.

What we do not do

  • We do not sell customer data, contact data or WhatsApp conversation data.
  • We do not share WhatsApp conversation data with advertisers or use it for advertising.
  • We do not use one customer business’s data for the benefit of another.

WhatsApp messaging and consent

WhatsApp messaging in Bizzphlo runs on the WhatsApp Business Platform provided by Meta. When a business sends or receives a WhatsApp message through Bizzphlo, the message passes through Meta’s systems and is handled by Meta under its own terms and privacy policy.

Businesses using Bizzphlo are required to message only people who have agreed to hear from them, in line with WhatsApp’s business messaging rules. Bizzphlo keeps a record of consent and of opt-outs. When a contact withdraws consent, that withdrawal is recorded and the business is expected to stop messaging that contact. The record of the opt-out itself is kept so that it continues to be respected.

Who information is shared with

Information is shared only as needed to run the service:

  • The customer business whose data it is, and that business’s authorised users.
  • Meta Platforms, as the provider of the WhatsApp Business Platform, for messages sent and received through WhatsApp.
  • Infrastructure providers that host the servers and storage Bizzphlo runs on. They process data only to provide hosting to us.
  • Authorities, where we are required to disclose information by law or a valid legal order.

A current list of the service providers used for a particular business’s Bizzphlo installation is available to that business on request.

Where and how information is kept

Each customer business has its own separate Bizzphlo installation and its own database. A business’s data is not mixed with another business’s data.

We use reasonable technical and organisational measures to protect information, including access controls, hashed passwords, audit logs and backups. No system can be guaranteed to be completely secure, and we do not claim that Bizzphlo is.

How long information is kept

Information is kept for as long as the customer business uses Bizzphlo and chooses to keep it. When a business stops using Bizzphlo, its data can be exported and is then deleted, as described on the data deletion page. Limited information may be kept for longer where needed for legal, security, fraud-prevention or backup-recovery reasons.

Your choices and rights

Depending on the law that applies to you, including India’s Digital Personal Data Protection Act, 2023, you may have the right to access, correct or erase your personal data and to withdraw consent.

  • If you are a contact of a business that uses Bizzphlo, please contact that business first. It controls the relationship with you and can correct or delete your details directly. You can also write to us and we will help route your request.
  • If you are a business user or a customer business, contact us directly.

Children

Bizzphlo is a tool for businesses and is not directed at children. Business users must be adults.

Changes to this policy

We may update this policy as the product changes. The date at the top shows when it was last updated. Significant changes will be communicated to customer businesses.
